The Bid Board and your calendar
How to name calendar events and use Outlook categories so your bids show up on the Bid Board.
The Bid Board reads your calendar (from today through the next 90 days) and lists the events that are bids. It decides which events count by their title and, in Outlook, by their category. Other events, like ordinary meetings, are left out.
Name your events
Titles that start with these words always count:

WALK: <Project> | The pre-bid walk or site visit. |
RFI DUE: <Project> | The last day to send questions. |
For example: BID: Main Street Library – Acme Builders. Bidding one job to three GCs? Make one BID event for each GC.
Other titles crux recognises
With Subjects that mention bid, RFI, walk or due on (the default), events whose title mentions “bid due”, “proposal due”, “RFI”, “questions due”, “site visit”, “pre-bid”, “job walk”, “prequal”, “submittal”, or a title that ends in “Due” (like “Harbor School - Due”) also count.
Outlook categories
In Outlook you can mark any calendar event as a bid with a category: right-click the event and pick Categorize. A category such as "Bids" works well. The category shows as a tag on the board, and the title words still say whether it is the bid, the walk or the RFI date.
Open Which calendar events are bids? on the Bid Board to choose:
- Any event with an Outlook category (any colour; on by default), or
- Only these categories: type the category names, separated by commas, for example
Bids, Walks. - Subjects that mention bid, RFI, walk or due: on or off.
Click Save. The board says Saved. The board now uses these rules. and uses them from the next sync. Click Sync now to see the result straight away.
