GC pack · Bid workflow
Bid day
The last hours before the bid. One verdict, numbers in by the batch with their sources, the bid form laid out for you to sign.
Bid day is a fast, focused mode: you work the phones while crux keeps the numbers correct, cited and complete. Say "bid day", or "where are we for the bid?".
The board
crux opens with one line: ready, or the red items by name. Behind it:
- the bid due time and the hours left;
- the preflight: every addendum processed and acknowledged, the bid card matching the facts, the estimate check, the leveling check in its bid-day form, and the workbook check, as one verdict;
- the quote log: new, changed and open quotes, and the latest arrivals.
Inside 48 hours of the due time, any open leveling decision is red, and so is a mandatory alternate with no price or no carried sub. Each is your one-line call ("carry a plug", "use Sub Q's number", "not applicable because ...").
Careful: Red means stop. Nothing goes on the bid form while a check is red, and a check that could not run is not a pass.
Numbers coming in
Just say them: "Sub P just came in at 412,000 for drywall", "electrical verbal from Sub R, 1.18 million". crux:
- sweeps the Quotes folder first, so a quote that landed in the folder is never missed;
- records each quote with its source (a firm quote from its file; a phone number as
verbal <who> <date>, budget-grade until the paper lands); - enters the whole batch in one write: the sub's name in column C, the amount in the right column, the source in H, then recalculates and shows every line's before and after and the new totals;
- runs the workbook and estimate checks again.
A cheaper number that just landed is shown with what it excludes; switching subs is your call. The bid amount cell is written only when you give that number in your own words.
What crux flags (never fills)
- Bare scopes: a needed division with nothing carried, a trade carried on a single quote, a hand-off the receiving sub does not actually include.
- Outliers against your company's own pricing history, with the comparison, marked budget-grade.
- Totals, bond, tax and P&O lines that did not move the way the numbers say.
The owner's bid form
crux lays the form's lines out for you (base bid, every alternate, unit prices, allowances, addenda acknowledged, bond basis) from the workbook totals and the bid card, each with the cell it came from. You fill in, sign and submit the bid. crux never sends, uploads or submits anything.
Note: Filling the owner's form file itself is still being built. Until then crux lays the lines out in chat or a binder note.
After the bid opens
Say "the results are in" and give the bid tab: crux records the result and the field (see records and win/loss), and compares what you carried with what was available. Won it? Start buyout.
