Scope letters

Scope-of-work letters for every trade package, on your brand, with a one-page bid form in front.

A scope letter is the invitation a sub prices from. crux writes one per trade package, from the job's own documents, so the quotes that come back line up with the same scope checklist they are leveled against.

Write the letters

  1. After onboarding (and once the estimate shell is up), say "write the scope letters".
  2. crux works out the trade packages and the boundaries between them from the documents: who furnishes and who installs, cut-and-drop demolition, who carries the blocking, what is by others. Where the documents do not settle a boundary, it asks you, or adds an RFI.
  3. It drafts every letter and checks the set against the scope checklist, then writes them as Word documents in the job binder's Scopes folder, numbered in bid order (01_Selective_Demolition.docx, 02_...).

Every letter carries:

  • your company's name and logo (from your company layer or Settings > Company);
  • the project, the sub bid due date and the RFI cutoff, read from the bid card;
  • the work included, breakouts and alternates, materials, Work excluded (and who carries it), and notes;
  • a one-page Subcontractor bid form in front, built from the letter itself: base price, each breakout and alternate (mandatory or optional), and the write-in lines the letter asks the sub to state.

The letters are drafts. You send them, by email or through BuildingConnected. Save a PDF from Word when a sub needs one.

Change a letter

  • Before you have edited it by hand: tell crux what to change ("bold the shoring clause in the concrete letter", "move the fire caulking to drywall"). It changes the letter's data and writes it again.
  • After you have edited it by hand (spec excerpts, pictures for a vendor): crux will not overwrite it. Say what to change and crux amends the letter in place, keeping your edits.
  • Your redlines: hand back marked-up pages. crux first writes every comment into a redline list and tells you how many it found, then works through them; nothing is left open without telling you.
  • After an addendum: "reissue the scopes per addendum 3". crux amends the letters the addendum touched.

Bulletins and owner Q&A

"Send a bid bulletin to the subs" or "put the owner's Q&A answers in a transmittal" writes a branded bulletin in the binder's Bulletins folder. Every line cites the addendum item or owner answer it rests on. You send it.

Good to know

Tip: Clean scopes are what make quotes levelable. A breakout you ask for in the letter shows up as its own line in leveling.

  • A letter written before an addendum is read carries stale scope; crux warns you ("Addendum 4 isn't acknowledged yet").
  • Anything unstated in the documents becomes an RFI, never an assumption in a letter.
